Use AI Notes Summarization, also called AI Note Summary, AI Notes Summary, or schedule note summarization, to consolidate Care Notes, Task Notes, and Notes for Family into a concise summary while keeping the original notes available for review.

Important: AI-generated information may contain errors. Review all suggestions against the original source before copying, approving, or saving information.

When to Use This Feature

  • Use the feature when you need to review important updates from one schedule without reading each note separately.

  • Use the bulk option when you need to review note summaries for several schedules from Time Tracking.

  • Generate the summary after the applicable notes have been entered or updated. If notes change, the summary is regenerated the next time it is opened.

Before You Begin

  • Your role must have Full Access for AI Schedule Note Summarization. Read-Only and No Access permissions do not provide access to the AI feature.

  • The selected schedule must contain at least one Care Note, Task Note, or Note for Family for AI to summarize.

  • Plan to compare the summary with the original notes before using or sharing it.

Summarize Notes for One Schedule

  1. Open the schedule you want to review in Schedule Detail.

  1. Select AI Note Summarization.

  1. Wait for the AI Note Summarization window to display the generated summary.

  1. Review the Care Notes and Note for Family sections in the AI Summary.

  1. Select View original notes to compare the summary with the underlying notes.

  1. Select Copy Notes if you want to copy the summary for use in an approved destination.

  1. Select Done when your review is complete.

Select AI Note Summarization from Schedule Detail.

Review the generated summary and use Copy Notes when needed.

Expand the original notes to verify the AI summary.

Summarize Notes for Multiple Schedules

  1. Open Time Tracking.

  2. Select the schedules you want to review.

  3. Select AI Note Summarization.

  4. Use the previous and next controls to move through each schedule summary.

  5. Review the original notes for each schedule and copy individual summaries as needed.

  6. Select Done when all selected schedules have been reviewed.

Select multiple schedules in Time Tracking, then select AI Note Summarization.

Use pagination to review each selected schedule summary.

Best Practices

  • Verify high-impact details, names, dates, changes in condition, and follow-up needs against the original notes.

  • Use summaries to accelerate review, not to replace the original documentation.

  • Regenerate the summary by reopening it after a note is corrected or updated.

  • Copy only the information needed and follow your agency’s privacy and documentation practices.

Common Scenarios

  • Shift review: Open one schedule and generate a summary before follow-up.

  • Multi-schedule oversight: Select several schedules in Time Tracking and page through each summary.

  • Updated documentation: Reopen the summary after notes change to generate a current version.

Troubleshooting

  • AI Note Summarization is not available: Ask an administrator to confirm that your role has Full Access for AI Schedule Note Summarization.

  • The summary does not reflect a recent note change: Close the summary and access it again so it can regenerate.

  • A detail appears incomplete or incorrect: Expand View original notes and rely on the original documentation.

  • You cannot use bulk summarization: Confirm that schedules are selected in Time Tracking before selecting AI Note Summarization.

Associated Reports

No dedicated report is identified for this feature. Use Schedule Detail or the Time Tracking view to access and review summaries.

Administrators provide Full Access under the AI Schedule Note Summarization role permission.
