Performance Metrics Report

A new Performance Metrics Report has been introduced under the CRM section of Reports, designed to help agency owners and managers monitor key business indicators in one place. This comprehensive report provides insights into scheduling efficiency, financial performance, and overall operational health, helping users easily track trends and make data-driven decisions. This report will be available starting December 5th.

The report includes filters such as Office, Territory, Client Type, Payer Type, Referral Source, Start Date, and End Date, allowing users to customize their view based on specific needs. By default, only Admin users will have full access to this report, which can be exported in multiple formats.

The report calculates the amount based on the following factors, wherever applicable:

· Overtime (Daily, Weekly, or Both) applied at the schedule level

· Holiday eligibility

· Travel Time (excluding mileage) applied to Pay Units

· Rate Hierarchy: Bill/Pay Actual, Bill/Pay Minimum, and Bill/Pay Scheduled

· Breaks

· Billable Hours for approved shifts based on the invoice date and time

· Payable Hours for approved shifts based on the payroll date and time

Additionally, users can click on the “View Field Details” hyperlink to access detailed descriptions of all fields within the report.

Note: The report calculates the amount based on the following factors, wherever applicable:

Field Name

Description

Total Schedules

Total number of schedules created in the system within the selected date range, in any status. Deleted schedules are not included in the calculation.

Total Schedules Assigned

Total number of schedules in any status that are assigned to caregivers.

Billable Schedules

Total number of schedules with the status Scheduled, Time Tracking, Needs Review, or Approved, and marked as Billable or Billable – No Charge.

Billable Schedules Avg. Length (Hours)

Total duration (in hours) of schedules with the status Scheduled, Time Tracking, Needs Review, or Approved, divided by the total number of schedules.

Billable Schedules Hours

Total duration (in hours) of schedules with the status Scheduled, Time Tracking Confirmed, Needs Review, or Approved, that are marked as Billable or Billable – No Charge, within the selected date range.

Assigned Billable Schedules

Total number of schedules that are in status 'Scheduled, Time Tracking, Needs Review, Approved' that are assigned to Caregivers.

Assigned Billable Schedules Avg. Length (Hours)

Total duration of schedules with the status Scheduled, Time Tracking, Needs Review, or Approved, that are assigned to caregivers, divided by the total number of schedules.

Assigned Billable Hours

Total duration (in hours) of schedules with the status Scheduled, Time Tracking Confirmed, Needs Review, or Approved, that are assigned to caregivers and marked as Billable or Billable – No Charge, within the selected date range.

Non-Billable Schedules Hours

Total duration (in hours) of schedules with the status Scheduled, Time Tracking Confirmed, Needs Review, or Approved, that are marked as Not Billable, within the selected date range.

Non-Billable Assigned Hours

Total duration (in hours) of schedules with the status Scheduled, Time Tracking, Needs Review, or Approved, that are assigned to caregivers and marked as Not Billable, within the selected date range.

Total Schedules Hours

Total duration of all schedules.

Total Assigned Hours

Total duration of schedules with the status Scheduled, Time Tracking, Needs Review, or Approved, that are marked as Billable, Billable – No Charge, or Non-Billable, and assigned to caregivers.

Billable Approved Hours

Total duration of schedules with the status Approved that are marked as Billable or Billable – No Charge.

Non-Billable Approved Hours

Total duration of schedules with the status Approved that are marked as Not Billable.

Total Approved Hours

Total duration of schedules with the status Approved that are marked as Billable, Billable – No Charge, or Not Billable.

Total Customers Serviced

Unique count of clients with schedules in the status Time Tracking Confirmed, Needs Review, or Approved, within the selected date range.

Total Caregivers Worked

Unique count of caregivers assigned to schedules with the status Time Tracking Confirmed, Needs Review, or Approved, within the selected date range.

Total Billable Expenses

Total amount of expenses that are Billable and associated with schedules in the status Scheduled, Time Tracking, Needs Review, or Approved.

Approved Billable Expenses

Total amount of expenses that are Billable and associated with schedules in the status Approved.

Total Payable Expenses

Total amount of expenses that are Payable and associated with schedules in the status Scheduled, Time Tracking, Needs Review, or Approved.

Approved Payable Expenses

otal amount of expenses that are Payable and associated with schedules in the status Approved.

Total Billable Approved Schedules

Total billable amount for schedules in the status Approved, including billable expenses.

Total Payable Approved Schedules

Total payable amount for schedules with the status Approved.

Total Billable Schedules

Total billable amount for schedules in the status Scheduled, Time Tracking, Needs Review, or Approved, including billable expenses.

Total Payable Schedules

Total payable amount for schedules in the status Scheduled, Time Tracking, Needs Review, or Approved, including payable expenses.

Average Approved Bill Rate Per Hour

Total amount of bill for schedules in the status Approved that are marked as Billable or Billable – No Charge, divided by the total number of hours.

Average Approved Pay Rate Per Hour

Total amount of pay for schedules in the status Approved that are marked as Payable, divided by the total number of hours.

Average Approved Hours Per Client

Total hours of all schedules in the status Approved, both Billable and Not Billable, divided by the unique number of clients.

Average Approved Hours Per Caregiver

Total hours of all schedules in the status Approved, both Payable and Not Payable, divided by the unique number of caregivers.
