Navigate and Use the CareSmartz360 Go Caregiver App

This article explains how to navigate the CareSmartz360 Go application and use its primary features.

Purpose

CareSmartz360 Go gives caregivers access to their upcoming visits, schedule, client information, messages, availability, documents, compliance items, forms, training, and other work-related information.

Before You Begin

Before using CareSmartz360 Go:

  • Obtain your agency’s Agency ID. The Agency ID is required when signing in.

  • Complete your caregiver registration.

  • Set a security question during registration. A security question is required before you can reset your password.

  • Confirm that your caregiver profile contains the correct phone number, email address, and employee information.

  • Enable location services on your device when location verification is required for clocking in or out.

  • Make sure your device has recently synchronized with the application.

  • Contact your agency if a feature described in this article does not appear. Some features depend on agency settings, caregiver permissions, or subscribed services.

Important: Available features may vary according to your agency’s configuration and your caregiver permissions.

Sign In and Review the Home Page

After signing in, the Home page displays your name and important device information.

Review location and synchronization information

  1. Sign in to CareSmartz360 Go.

  2. Locate your name on the Home page.

  3. Review the GPS accuracy displayed for your device.

  4. Review the Last Sync information.

GPS accuracy can be helpful when troubleshooting clock-in or clock-out problems. If the application determines that you are outside the permitted location range, you may not be able to clock in or out. The Last Sync information indicates when the device most recently synchronized with the system.

Review Your Caregiver Profile

Your caregiver profile contains your contact, employee, agency, language, calendar, and security information.

  1. Select your initials (or photo, if uploaded) in the upper-right corner.

  2. Review your caregiver information, including:

    • Phone number

    • Email address

    • Employee ID, when one is stored in the agency portal

    • Time-tracking ID

  3. Review the agency information, including:

    • Agency ID

    • Assigned office, when the agency has multiple offices

    • Office phone number

    • Time-tracking telephone number for telephony or IVR use

  4. Review or change your selected language.

  5. Access available account, calendar, security, password, or sign-out options as needed.

Available languages

CareSmartz360 Go defaults to US English. The available language options are:

  • US English

  • Spanish

  • Korean

  • Simplified Chinese

  • Vietnamese

  • Russian

  • French

Calendar access

The profile area provides access to an ICS calendar covering the next 60 days. Calendar synchronization information for Google Calendar is also available in the caregiver information area.

Update your security question or reset your password

  1. Open your profile by selecting your initials.

  2. Select the option to update your security question when needed.

  3. Use the password reset option if you have forgotten your password.

You must have established a security question before you can reset your password.

Sign out

  1. Select your initials.

  2. Select Log Out.

Review Announcements and Upcoming Visits

The Home page displays upcoming visits and announcements shared by your agency.

View an agency announcement

Agency announcements appear as banners at the top of the Home page. An announcement may be a text banner or an image banner.

Text announcements can contain up to 160 characters. Your agency must assign an expiration date when configuring a banner.

View upcoming visits

  1. Go to the Home page.

  2. Locate Upcoming Visits.

  3. Select a visit to open its available details.

  4. Review the scheduled date and time before attempting to clock in.

The application may prevent you from clocking in when it is too early for the scheduled visit.

Review Visit Notes

Visit details may include different types of information to help you prepare for the visit.

  1. Select an upcoming visit.

  2. Open the visit notes.

  3. Review the available information, which may include:

    • Schedule notes

    • Summary notes from the client profile

    • Care notes

    • Previous notes

    • Notes for the family from the last seven days

  4. Close the notes when you have finished reviewing them.

Best practice

Review all available notes before the visit. Pay attention to the type and date of each note so that you understand its purpose and context.

Review Hours, Alerts, Logs, Expenses, Forms, and Pending Confirmations

The Home page includes quick access to several caregiver records and activities.

Depending on your agency’s configuration and the work assigned to you, you may be able to review:

  • Hours serviced within a selected date range

  • Scheduled hours compared with agency-approved hours

  • Alerts

  • SMS logs

  • Expenses awaiting review

  • Client forms awaiting review

  • Visits awaiting your confirmation

Date-range controls are available for applicable sections, including expenses, client forms, and pending visit confirmations. You can use the date range to review current or future records when those records are available.

Clock In to a Visit

  1. Open the scheduled visit from the Home page or calendar.

  2. Confirm that you selected the correct visit.

  3. Review the scheduled date and time.

  4. Review the available visit notes.

  5. Select the clock-in option.

  6. Follow any instructions displayed by the application.

If you attempt to clock in too early, the application may display a message indicating that it is too early to clock in.

Best practice: Before clocking in, verify that your device’s location services are operating correctly and review the GPS accuracy shown on the Home page.

Use the Shift Calendar

The Shift Calendar provides weekly and monthly views of your work.

  1. Open the Shift Calendar.

  2. Review the assigned view, which defaults to the current week.

  3. Review your current weekly hours.

  4. Select an assigned visit to view its details.

  5. Change the calendar to the monthly view when a broader view is needed.

  6. Review ad hoc visits, meetings, open shifts, offered visits, requested shifts, or declined shifts when those sections are available.

Add an Ad Hoc Visit

An ad hoc visit can be added only when the agency has enabled the feature and the caregiver has permission to use it.

An ad hoc visit may be started from:

  • The Home page

  • The ad hoc section of the Shift Calendar

To add an ad hoc visit:

  1. Open the Home page or Shift Calendar.

  2. Locate the option to add an ad hoc visit.

  3. Select the option.

  4. Complete the information requested by the application.

  5. Review the information before submitting or saving it.

If the option is not displayed, the feature may not be enabled for the agency or your caregiver account.

Pros

  • Provides a way to record an ad hoc visit when the feature is enabled.

  • Can be accessed from more than one area of the application.

Considerations

  • Availability depends on agency settings.

  • The caregiver must have permission to add an ad hoc visit.

Review and Respond to Open or Offered Shifts

Open shifts

Open shifts are unstaffed shifts that your agency has made visible to you. You may be able to request an available open shift.

  1. Open the Shift Calendar.

  2. Select Open Shifts.

  3. Review the shifts visible to you.

  4. Select a shift to open its available details.

  5. Submit a request when you want to be considered for the shift.

  6. Review previously requested shifts in the area showing shifts for which you have applied.

Offered visits

Offered visits are visits that the agency has offered directly to you.

  1. Open the offered-visits section.

  2. Select an offered visit.

  3. Choose Available or Not Available.

The CareSmartz360 Go interface does not provide an option to request additional information from the offered-visit screen until the visit(s) is selected.

Declined shifts

Use the applicable declined section to review shifts you previously declined.

Review Client Information

The My Clients section displays client information for clients with whom you have a scheduled visit during the next 30 days.

  1. Open My Clients.

  2. Select a client.

  3. Review the information available to you, which may include:

    • Client contacts

    • Directions

    • Care plan

    • Client documents

    • Assessment

  4. Close the client record when finished.

If your caregiver permissions allow assessment editing, you can access and edit the assessment from the client information area.

Best practice: Only update an assessment when your agency has authorized you to do so and the edit option is available in your account.

Use In-App Messaging

The Messages area is for in-app communication between the caregiver and the agency.

  1. Open Messages.

  2. Select an existing conversation or begin an available new conversation.

  3. Enter your message.

  4. Send the message.

  5. Return to the conversation to review agency responses.

In-app messages are separate from SMS records. SMS logs are accessed from the Home page.

Best practice

Check whether you are working in Messages or reviewing SMS Logs before searching for a communication. The two areas contain different types of communication.

Add Availability or Unavailability

Use the application menu to maintain your availability information.

  1. Open the main menu.

  2. Select the availability or unavailability area.

  3. Choose the option to add availability or unavailability.

  4. Enter the information requested by the application.

  5. Review the entry.

  6. Save or submit it.

Caregivers can add both availability and unavailability from this section.

Best practice

Enter availability or unavailability as soon as you become aware of a scheduling restriction. Review the information carefully before saving it.

Review Documents and Compliance Items

Documents

The Documents area may contain internal caregiver documents, such as:

  • Disciplinary actions

  • Policy reminders

  • Other internal documents

Caregivers can review all available documents or filter the displayed records by document grouping when the corresponding options are available.

Compliance items

The compliance area may contain requirements such as:

  • Personal liability insurance

  • CPR certification

  • First aid certification

Use this area to review the compliance information made available to you by the agency.

Best practice

Review document and compliance sections regularly. Follow your agency’s instructions when an item requires attention or updated information.

Complete a Caregiver Form

If your agency uses custom caregiver forms, you can open and complete them from the Caregiver Forms area.

  1. Open the application menu.

  2. Select Caregiver Forms.

  3. Select the form you need to complete.

  4. Enter the requested information.

  5. Review the completed form.

  6. Use the available action to save or submit it.

Caregivers can add and complete custom caregiver forms from this section.

Access Assigned Training

Training content may be available when:

  • Your agency has assigned training to you; or

  • Your agency subscribes to Learn2Care.

To access available training:

  1. Open the application menu.

  2. Select the training area.

  3. Review the training items available to you.

  4. Select an item to access it.

Common Scenarios and Workflows

Scenario 1: You cannot clock in or out

  1. Return to the Home page.

  2. Review the GPS accuracy.

  3. Confirm that location services are enabled on the device.

  4. Confirm that you are within the permitted location range.

  5. Review the Last Sync information.

  6. Confirm that you selected the correct visit.

  7. Check the scheduled visit time.

  8. If the application says it is too early, wait until the agency’s permitted clock-in period.

  9. Contact your agency if the issue continues.

GPS accuracy, permitted range, device synchronization, and early clock-in timing as relevant considerations. It does not provide agency-specific distance or timing thresholds.

Scenario 2: You cannot reset your password

  1. Confirm that you established a security question during registration.

  2. Open the password reset option.

  3. Follow the displayed instructions.

  4. If you did not establish a security question, contact your agency for assistance.

A caregiver cannot use the described password reset process unless a security question has been established.

Scenario 3: A client does not appear in My Clients

  1. Confirm that you have a scheduled visit with the client.

  2. Confirm that the scheduled visit falls within the next 30 days.

  3. Review the Shift Calendar to verify the assignment.

  4. Contact your agency if the scheduled visit is present but the client remains unavailable in My Clients.

The My Clients area includes clients with whom the caregiver has a scheduled visit during the next 30 days.

Scenario 4: You cannot add an ad hoc visit

  1. Check the Home page and Shift Calendar for the ad hoc visit option.

  2. Confirm with your agency that ad hoc visits are enabled.

  3. Confirm that your caregiver account is permitted to create them.

The option depends on both agency enablement and caregiver permission.

Scenario 5: You cannot edit a client assessment

Assessment editing is available only when the caregiver is permitted to edit the assessment. Contact your agency if you believe you should have access but the edit option is not displayed.

Scenario 6: You cannot find a text message

  1. Use Messages for in-app communications between you and the agency.

  2. Use SMS Logs on the Home page to review SMS activity.

In-app messages and SMS logs are displayed in separate areas.

Scenario 7: A menu option is missing

A feature may be unavailable because:

  • The agency has not enabled it.

  • Your caregiver account does not have permission to use it.

  • The feature depends on a service or subscription that is not available to the agency.

These conditions are explicitly identified for ad hoc visits, assessment editing, and training access.

Best Practice Recommendations

  • Review GPS accuracy and Last Sync before beginning the day’s visits.

  • Review visit notes before clocking in.

  • Verify the visit date and time before selecting Clock In.

  • Use the weekly calendar for immediate scheduling needs and the monthly view for broader planning.

  • Review offered visits promptly and select Available or Not Available.

  • Keep availability and unavailability information current.

  • Distinguish between in-app Messages and SMS Logs.

  • Review documents, compliance requirements, forms, and assigned training regularly.

  • Keep your security question current so that password reset remains available.

  • Contact your agency when an expected feature or permission is not available.
