Use the AI Medication Extractor, also called medication extraction, prescription scanning, or medication document upload, to create draft medication entries from patient-related documents or medication label images.

When to Use This Feature

  • Use the extractor when adding medications from a prescription document, scanned medication list, or medication label image.

  • Complete extraction before approving and saving medication records.

  • Use manual entry when the source is unclear, unsupported, or not suitable for extraction.

Before You Begin

  • Your role must have Full Access for AI Medication Extractor.

  • Prepare a supported file: PDF, scanned document, JPG, JPEG, PNG, or HEIC.

  • Confirm the source is legible and contains the medication details you need.

Extract and Add Medications

  1. Open the applicable patient or client Medication section.

  2. Start the Add Medication workflow.

  3. Select Upload Document.

  4. Choose the patient-related document or medication label image.

  5. Keep the window open while the document uploads and AI extracts the medication information.

  6. Review each medication tab created from the upload. Multiple medications may be presented as separate draft entries.

  7. Verify and edit the extracted medication name, dosage or strength, frequency or instructions, route, and any other required fields.

  8. Approve or reject each medication individually.

  9. Select Save and Continue only after the information has been reviewed and all required fields are complete.

Clinical responsibility: The AI Medication Extractor does not make clinical decisions, automatically approve medications, modify historical records, or change medication rules. Only user-approved medications are saved.

Best Practices

  • Compare every extracted value with the uploaded document or label.

  • Review one medication at a time when a file contains multiple medications.

  • Confirm units, strength, route, and instructions. Similar-looking values can have materially different meanings.

  • Do not approve incomplete or ambiguous information. Correct it or use manual entry.

  • Follow existing medication validations, scheduling rules, and agency reconciliation practices after approval.

Troubleshooting

  • Upload Document is not available: Confirm the agency is using the new Medication workflow, the new Caregiver App and Portal user interface, and that your role has Full Access.

  • The file is not accepted: Confirm it is a supported PDF, scanned document, JPG, JPEG, PNG, or HEIC file.

  • A medication or field is missing: Check the source for legibility, then edit the draft or use manual entry.

  • Incorrect values were extracted: Correct or reject the medication before saving.

  • The medication cannot be saved: Complete required fields and resolve the existing medication workflow validation messages.

Associated Reports

No dedicated AI extraction report is identified for this feature. Approved medications become standard medication records and follow the existing medication workflow.

Administrators provide Full Access under the AI Medication Extractor role permission.
