Managing Schedules

This article explains how to view schedules, edit visits, cancel shifts, create open shifts, communicate with caregivers, and fill unstaffed visits.

Purpose

After schedules have been built and published, there will inevitably be situations that require updates, corrections, cancellations, staffing changes, or open shift management. The Schedule Calendar provides a centralized location to review, modify, and manage upcoming and active visits.

When Should You Do This?

Use the Schedule Calendar when you need to:

  • Review upcoming visits

  • Modify an existing visit

  • Reassign a caregiver

  • Cancel a scheduled shift

  • Create or manage open shifts

  • Communicate with caregivers about a visit

  • Fill an unstaffed visit

  • Monitor schedule activity across clients or caregivers

Before You Begin

Prerequisites

Before managing visits, ensure:

  • Schedules have been created and published

  • Clients and caregivers are active

  • Appropriate scheduling permissions have been assigned

  • Any required service authorizations have been configured

  • Caregiver availability and qualifications have been maintained

Accessing the Schedule Calendar

Step 1: Navigate to Schedule Calendar

  1. Open the Scheduling module.

  2. Select Schedule Calendar.

By default, the system displays:

  • A one-week calendar view

  • All available offices and territories

  • All clients

  • All client types

  • Grouping by Client


Understanding Schedule Calendar Filters

The Schedule Calendar includes several filters to help narrow results.

Available filters may include:

  • Office

  • Territory

  • Client

  • Client Type

  • Caregiver

  • Care Coordinator Workflow

  • Published vs. Unpublished Hours

  • Schedule Status

  • Authorization Usage

You can also:

  • Show clients without upcoming schedules

  • Review schedule status codes using Show Codes

  • Change the displayed date range

After making selections, click Apply.

Viewing Published and Unpublished Hours

Within the selected date range, you can toggle between:

  • Published Hours

  • Unpublished Hours

This provides visibility into:

  • Upcoming workload

  • Scheduling progress

  • Outstanding visits that still require publication


Adding a New Visit

To create a new visit directly from Schedule Calendar:

  1. Click the green Add button.

  2. Select the appropriate office.

  3. Complete the visit details.

  4. Save the visit.


Reviewing and Editing Existing Visits

Step 1: Open the Visit

Click directly on a scheduled visit.

A preview window displays:

  • Start and End Time

  • Time Zone

  • Service Type

  • Assigned Caregiver

  • Client Contact Information

  • Caregiver Contact Information


Step 2: Make Quick Changes

From the visit preview, you can:

  • Change caregiver assignments

  • Send a text message to the caregiver

  • Add clock-in information

  • Add clock-out information

  • Review contact details

Sending a Caregiver Message

  1. Click the SMS option.

  2. Enter your message.

  3. Click Send.

Note: Text messages are billable per the Caresmartz360 Billing Policy.


Copying a Visit

If you need to duplicate a shift:

  1. Open the visit.

  2. Select Copy Visit.

  3. Specify:

    • Source date

    • Destination date(s)

    • Recurrence pattern (if applicable)

  4. Save.

Best Practice

Review all selected dates carefully before saving.

Large-scale copy operations can unintentionally create duplicate visits if date ranges are not reviewed thoroughly.


Deleting a Visit

To remove a visit:

  1. Open the visit.

  2. Select Delete.

Important

Deleted visits cannot be restored.

If a visit is deleted accidentally, it must be recreated manually.


Viewing Detailed Visit Information

For additional scheduling options:

  1. Open the visit.

  2. Click View Details.

The detailed view provides access to:

  • Client information

  • Service information

  • Visit status

  • Notes

  • Scheduling details

  • Cancellation workflows


Cancelling a Visit

Cancelled by Client

Step 1

  1. Open the visit.

  2. Select View Details.

  3. Change the Status to Cancelled by Client.

  4. Click Update

Step 2

Select a cancellation reason.

Common reasons include:

  • Appointment

  • Holiday

  • Vacation

  • Illness

  • Other

Step 3

Add notes and click Save.

Best Practice

Always document the reason for cancellation in the notes field to maintain a clear audit trail.


Cancelled by Caregiver

Step 1

  1. Open the visit.

  2. Select View Details.

  3. Change the Status to Cancelled by Caregiver.

  4. Click Update

Step 2

Select a cancellation reason.

Step 3

Add notes and click Save.

Step 4

Choose whether to create an identical Open Shift.

Selecting Yes creates an open shift using the same visit details, allowing the visit to be staffed immediately.


Reviewing Conflict Warnings

When updating visit status or making scheduling changes, the system may display conflict warnings.

Examples include:

  • Overtime

  • Scheduling conflicts

  • Missing requirements

  • Authorization concerns

Review all warnings carefully before proceeding.


Managing Open Shifts

Open shifts can be created by:

  • Scheduling a visit without assigning a caregiver

  • Converting a caregiver cancellation into an open shift

  • Removing caregiver assignments from existing visits


Filling an Open Shift

Option 1: Direct Assignment

If you already know who should work the shift:

  1. Open the visit.

  2. Select a caregiver from the dropdown list.


Option 2: Find Caregiver

To search for qualified caregivers:

  1. Open the shift.

  2. Click Find Caregiver.

The Find Caregiver page allows filtering by:

  • Skills

  • Experience

  • Availability

  • Out-of-Territory status

  • Overtime preferences

  • Distance from client

  • Compatibility

Detail View at the top right will navigate to the full Find Caregiver Screen.

View Details at the bottom right will open the visit details for the selected shift.


Using Skills and Requirements Matching

CareSmartz360 compares:

  • Client Needs and Requirements

  • Caregiver Skills and Experience

You may adjust search criteria to prioritize specific qualifications.

Common Examples

  • Specialized dementia experience

  • Transfer assistance experience

  • Language requirements

  • Companion care experience


Using Compatibility Preferences

Compatibility filters help identify caregivers who may be a better fit.

Available options may include:

  • Previous Staff

  • Preferred Caregiver

Multiple compatibility types can be selected simultaneously.


Reviewing Caregiver Availability

When caregivers are selected, the system displays scheduling information to help identify conflicts.

Use this view to review:

  • Existing shifts

  • Potential overlaps

  • Availability

  • Overtime concerns


Offering Open Shifts to Caregivers

You can click the blue plus sign to assign a caregiver immediately, or, you can offer a shift to multiple caregivers.

Options include:

  • Email

  • Text Message

Important

Text messages may incur charges depending on your agency configuration.


Tracking Open Shift Responses

To monitor caregiver responses:

  1. Navigate to Scheduling > Open Shift Manager.

  2. Select the Agency to Caregiver tab.

Statuses may include:

  • Pending

  • Available

  • Not Available

  • Request More Information

Caregivers can respond through:

  • The Caregiver App

  • The Caregiver Portal

  • Email notifications


Assigning a Caregiver After Acceptance

When a caregiver indicates interest:

  1. Open Open Shift Manager.

  2. Select the visit.

  3. Click Assign (green button or blue plus sign)

The visit will then appear as staffed in Schedule Calendar.

The original cancelled visit record remains visible for historical tracking purposes.


Common Workflows

Caregiver Calls Out

  1. Cancel visit by caregiver.

  2. Create open shift.

  3. Offer shift to available caregivers.

  4. Assign replacement caregiver.

  5. Verify updated schedule.

Client Cancels Appointment

  1. Open visit details.

  2. Mark as Cancelled by Client.

  3. Select reason.

  4. Document notes.

  5. Save.

Temporary Schedule Change

  1. Open visit.

  2. Reassign caregiver.

  3. Notify caregiver.

  4. Save changes.

Fill Multiple Open Shifts

  1. Open Open Shift Manager.

  2. Filter by date range.

  3. Offer shifts to multiple caregivers.

  4. Assign accepted shifts.


Best Practice Recommendations

Use Cancellation Reasons Consistently

Pros:

  • Better reporting

  • Easier trend analysis

  • Improved documentation

Document Notes on Every Cancellation

Pros:

  • Strong audit trail

  • Improved communication

  • Reduced confusion

Use Open Shifts Instead of Deleting Visits

Pros:

  • Preserves service history

  • Simplifies staffing replacement

  • Maintains scheduling visibility

Be Cautious with Copy Visit Functions

Pros:

  • Saves time

  • Creates recurring schedules quickly

Cons:

  • Can create unintended duplicate visits

  • Large date ranges may be difficult to audit


Troubleshooting

Unable to Find a Visit

Verify:

  • Office filters

  • Territory filters

  • Date range

  • Schedule status filters


Caregiver Does Not Appear in Search Results

Verify:

  • Availability

  • Required skills

  • Territory assignment

  • Compatibility filters

  • Overtime restrictions


Open Shift Responses Are Not Appearing

Verify:

  • The offer was sent successfully

  • The caregiver received the notification

  • The caregiver has responded in the app or portal


Visit Was Deleted Accidentally

Deleted visits cannot be restored.

A replacement visit must be created manually.
