Configure notification preferences for Admin and Agency users in Caresmartz360

You can access the setting from anywhere in your Caresmartz portal by clicking on the gear icon in the top right corner of your screen.


Then you will see a listing of the most commonly used sections of the Settings. You can click on the Main link to navigate directly to the Office Settings.

If you have more than one Office Location, you will be asked to select from a drop down list.

Once selected, you will see the Main Tab of the office settings. Click on Notifications to follow along. All of the other sections are visible on clickable tabs across the top of the section. There are two more sections under the ellipsis (...) at the far right of the page.

You should see a list of Admin and Agency users. As you scroll to the right, you can opt those users into email notifications for certain events. The first column is for SMS replies and can be configured by Admin users under Settings>>Configuration>>Configure SMS Services, charges apply.

n.b. consider carefully how many notifications you opt into for each user. Too many will lead to notification fatigue and users will begin to dismiss them without reviewing or taking appropriate action.

  • SMS Replies Type - Admin and agency users can send SMS to a client, caregiver, payer, community, or staff. When the recipient replies to the SMS, the agency users (selected here) will receive SMS notification, and they can go to the Global SMS Log under Scheduling to view the SMS. Charges apply.

  • GPS Based Exception - schedule that has multiple distance-based exceptions (clock-in + clock-out attempts >= 2).

  • Missed Clock-in/out - a caregiver has missed a clock in/out

  • Unidentified Check-in/out - a caregiver performs an unidentified clock in/out via telephony

  • Schedule Requests - a client portal user submits a schedule request

  • New Prospective Client - an agency user has entered a new prospective client

  • Client Authorization - Thirty days before a client authorization is due to expire

  • Caregiver Compliance - Thirty days before a caregiver compliance is due to expire

  • Successful Clock-in/Clock-Out - a caregiver successfully clocks in/out

  • Caregiver Hired Notification - an agency user converts a caregiver applicant to “hired”

  • Caregiver Injury - a caregiver updates the injury details for a shift

  • Clients With No Future Schedules - any client has no more schedules in the future

  • Recurrence change Alert - an agency user makes a change to a schedule recurrence pattern

  • Client Feedback Alert - a client portal user leaves feedback from the client portal

  • Open Shift Notifications - when there is an open shift

  • Running late notification - the caregiver is running late for Clock-In or Clock-Out

  • Shift Pre-Screening notification - a caregiver submits an adverse response to any question in the pre-shift screening

  • Late Clock-In - a caregiver (who is allowed to clock in outside the threshold parameters) clocks in late

  • Unavailability Caregiver - a caregiver submits unavailability from smartphone app or caregiver portal

  • Auto-Publish Notification - any conflicts (Alert and Prohibit) arise while Auto-publishing the Master Schedules

  • Adhoc-Schedule Notification - any Authorization exceeds while clock out the Adhoc Schedules

  • Caregiver Form Submission - a Caregiver submits a form for review/approval

  • Contact Us - a client portal user tries to contact the agency using the ‘Client Portal Contact Us Template'

  • Auto Clock-in/out for back to back Shift - a caregiver manually clocks in or out while Auto Clock-In/Out is enabled for back-to-back shifts

  • Goals Report Reminder - receive a monthly notification on a specified date, reminding you to generate the client goal report. You can configure the notification date in the settings to match your reporting schedule.

  • Caregiver Cancels a Shift - whenever a caregiver cancels an assigned shift

Once your selections are made, ensure that you click on the green Update button to save.
