Office Settings - Alerts Tab

Understand and configure the Alerts tab in the Office Settings of your Caresmartz360 portal

You can access the setting from anywhere in your Caresmartz portal by clicking on the gear icon in the top right corner of your screen.


Then you will see a listing of the most commonly used sections of the Settings. You can click on the Main link to navigate directly to the Office Settings.

If you have more than one Office Location, you will be asked to select from a drop down list.

Once selected, you will see the Main Tab of the office settings. Click on Alerts to follow along. All of the other sections are visible on clickable tabs across the top of the section. There are two more sections under the ellipsis (...) at the far right of the page.

There are three selections available for each setting under Alerts.

  • Alert - if selected and the user triggers it, an alert will pop up to advise of the conflict, there is an option to cancel to exit and make the change, or ignore and move forward as is.

  • No Alert - if selected, no alert will pop up.

  • Prohbit - If selected, when triggered an alert will pop up to advise of the conflict, there is no option to ignore, the user will have to make a change to move forward.

You can set the alerts for the following scenario triggers:

  • Schedule Overlaps: This conflict will be triggered when an agency user tries to schedule a caregiver to serve more than one client at the same time. It will also trigger if shifts are created “back-to-back” (one shift ends at 1:00 and another starts at 1:00).

  • Caregiver Compliance: This conflict will be triggered when any required compliance item has expired.

  • Caregiver Not Preferred: This conflict will be triggered when an agency user tries to create a schedule between a client and a caregiver, for which client-caregiver combination compatibility is set as not-preferred in CareSmartz360.

  • Caregiver Not Available: This conflict will be triggered when an agency user tries to schedule a Caregiver for a date/time for which the caregiver has already created an Unavailability or when a caregiver has defined traveling preferences in his profile.

  • Exceeds Weekly or Daily Hours: This conflict will be triggered when an agency user tries to create a schedule for a caregiver who will exceed the weekly or daily hour limit set on the Payroll tab, resulting in overtime. n.b. This setting cannot be changed unless and until an overtime limit is set in the Payroll tab. The system canno enforce a rule that is not yet in place.

  • Authorization Limit Exceeded: This conflict will be triggered when an agency user tries to create/update a schedule where the client authorization limit has exceeded.

  • Adhoc - Authorization Limit Exceeded for Caregiver: This conflict will be triggered when a caregiver tries to create an adhoc - schedule or clock-in/clock-out on an adhoc - schedule, where the client authorization has exceeded.

  • Adhoc - Weekly Limit Exceeded for Caregiver: This conflict will be triggered when a caregiver tries to create an adhoc - schedule or clock-In on an adhoc - schedule, where the Caregiver Weekly Limit has exceeded.

    Once your selections are made, ensure that you click on the green Update button to save.
