How the Facility can create and manage visits

Logging In

A registration email will be sent from the CareSmartz360 system to site/facility admin and users prompting them to change their password and sign in.

How can a Facility create a Schedule request?

Schedule > Make Schedule(s) Request

Facility users can create a Schedule request from Client portal. Creating a Schedule request send out the invites to Caregivers selected via email and the app.

Information required to create a schedule request is same as creating request from Agency portal. A recurrence pattern can be defined before creating the schedule, Schedule Date and time, Service Type, Number of Caregivers required info needs to be added and a minimum of that many Caregivers should be selected to send the request. Expenses and Breaks can also be added while creating a schedule request.

Caregivers will show their interest on the Schedule requests sent out and then the Facility users can take necessary action from the Open Shift(s) Manager.

How a Facility can manage Open Shifts and Assign Caregivers to Schedules?

Main Menu > Open Shift(s) Manager

Facility users can use Open Shift(s) Manager to keep a track on the shift requests sent out and assign interested caregivers on those schedules. Date range filter can be used to obtain relevant data. Users can even view Caregiver’s documents from this section to know more about Caregivers.

Schedule Approvals

Once a caregiver has completed a shift by successfully clocking in and out, the shift will appear on the dashboard under Shift Approval. Simply click on Approve to complete this task.
