Uploading and Managing Your Agency Logo

There are a number of places where you can put your branding on your Caresmartz360 portals

Adding your agency logo in Caresmartz360 helps maintain consistent branding across your portal, documents, and communications. Logos can be uploaded in several areas of the system depending on where you want them to appear.

This article explains how to upload logos for:

  • The portal interface (agency, client, and caregiver portals)

  • Invoices

  • Email templates

Logo File Recommendations

For best results when uploading your agency logo, follow these guidelines:

  • Maximum Recommended resolution: 1000 × 1000 pixels

  • Large files: Files larger than this resolution will automatically be scaled down by the system

  • Shape considerations: Logos with non-standard shapes or unusual aspect ratios may appear distorted

If your logo appears stretched, cropped, or distorted after uploading, please contact Support. Our team can review the file and submit a ticket to correct the formatting if needed.


Uploading a Portal Logo

The Custom Portal Logo appears across several areas of your agency’s system, including:

  • Agency Portal

  • Client Portal

  • Caregiver Portal

  • Online Application Page

  • Contact Us Form

Steps

  1. Navigate to Settings.

  2. Select Configuration.

  3. Locate Upload Custom Logo.

  4. Upload your agency logo file.

  5. Click Save.

Uploading a Logo for Invoices

Logos used on invoices are configured separately within the Billing settings.

Steps

  1. Navigate to Settings.

  2. Select Office Settings.

  3. Open the Billing tab.

  4. Select the Logo checkbox to display on the invoice.

  5. Upload your logo in the Invoice Logo section.

  6. Click Save.

Adding Logos to Email Templates

Logos used in email communications must be added individually within each email template.

Steps

  1. Navigate to Settings.

  2. Open Email Templates.

  3. Select the template you want to edit.

  4. Insert or upload your logo within the template editor.

  5. Click Save.

Note:
Each template must be updated separately if you want your logo to appear in multiple automated or manual emails.

Best Practices

To ensure your logo displays correctly across the platform:

  • Use a square image whenever possible

  • Follow the 1000 × 1000 px maximum recommended resolution

  • Avoid extremely wide or tall logo formats

  • Preview invoices and emails after uploading to confirm proper display
