Introduction of Search on Global Schedule Calendar

We are excited to introduce the search on the Global Schedule calendar for the client/caregiver listing as per the Grouping available. For the Group by Client, this searches the available clients on the page. Similarly, for the Group by Caregiver, the search is applicable to the caregiver name as available on the page.

You need to add a minimum of 3 characters in the search box to search a client/caregiver record.

The search box is located at the top left of the Schedule Calendar.

Combined View for Published and Unpublished Visits on Global Schedule Calendar

With the new UI, you can now easily monitor unpublished visits on the global calendar with availability of the Unpublished visits on the Global Schedule Calendar. You need to turn the toggle of Unpublished visits on to view the Unpublished visits on the Global Schedule Calendar.

Once you turn on the toggle, you can easily view the unpublished visits on the Global Schedule Calendar. An Unpublished visit is differentiated from the Published visit by marking these visits with dotted lines. Sample of an unpublished vs Published visit is mentioned in the below attached image.

Unpublished visits remains non-editable on the global schedule calendar. These are included for the view purposes so that you can view the unpublished shifts on this calendar. One of the toggle for either Published or Unpublished should be there as de-selecting both leads to an empty calendar. Hence system prohibits the user when only one toggle is turned on and the user tries to turn it off. When both Published and Unpublished toggle are turned on, you can turn off either one of them.

You can also Publish an unpublished scheduled by selecting and clicking the Publish button available at the top of the calendar.

Bulk Actions Global Schedule Calendar

Each Schedule in the Global Schedule Calendar is now facilitated with checkboxes from where you can easily select the schedules to perform bulk action on them. Below mentioned are Bulk actions that you can perform on Global Schedule Calendar.

  1. Publish Schedules

You can select the unpublished visits and publish them directly from the global schedule calendar. Only Unpublished visit(s) can be published. If you select both published and unpublished visit(s), hitting the publish button will prompt the error to de-select the published visit(s).

You can also turn off the toggle for the published schedules so that only unpublished visits are available for selection and publishing.

2. Bulk Delete Published Schedules

You can also delete the visits in bulk by selecting Published visits and clicking the bulk delete button available adjacent to publish button. On clicking the delete button, you need to add the reason for the deletion of the visit.

Note: Only Published visit(s) can be deleted and if you select any unpublished visit and click on the delete button, this will prompt message to select only published visits. To make it smoother it is recommended that you can turn off the unpublished visits and then select the published visit(s) to perform the bulk delete.

3. Export Visit(s)

You can now easily export the available visits from the global schedule calendar. To do so you need to click on the print icon that will export all of the available visit in the view according to the Grouping selected in the filter(s) (Group by client, Group by Caregiver). You don’t need to select any record as all of the records will be exported in this case.

A zip file will be downloaded for all of the available schedules in the view.

4. Email Visit

The published visits can also be sent via email to the client/caregiver by selecting the records and clicking on the email icon available in the bulk actions.

Improved Calendar View Including Monthly and 5-Week View

We are excited to inform you that we are now rolling out our monthly calendar and 5 week view calendar on the Global Schedule Calendar that makes it easy for you to view all of the client(s)/caregiver(s) visits for whole month or even up to 5 weeks in one go.

The monthly view for the visits consists of visit start time and end time only in the visit card.

To view the visit details, you can click on the visit, which will open the shift detail pop-up, as mentioned in the attached image.

To view the further details you can click on the view details button in this pop-up that opens up the visit details.

The Five-Week view consist of similar view as of monthly but with 5 week total for the selected month. An image illustrating the same is attached below

Addition of Pagination on the Global Schedule Calendar

Global Schedule Calendar is now rolling out with pagination for the Client(s) in Group by Client and for the Caregiver(s) in Group by Caregiver.

The pagination consists of 10 client/caregiver lists by default per the grouping selected. You can change the records per page to 15, 20, and a maximum to 25. Pagination also consists of icons to navigate to next or previous page and also consisting of the total number of the records with number of records on the page.

Below the pagination, there are the schedule statuses filters with hours count on the screen. You can check/uncheck these statuses to filter the statuses that you want to filter on the screen. Schedule Card now also consist of the Billing and Payroll indication which are displayed under the show codes. To view the codes you need to click on the Show Codes. To hide them you need to click on the hide code icon which appears after the click on the Show Codes.

Shift Detail Pop-up Updates

Shift detail pop-up now consist of Find Caregiver functionality that you can review directly from the pop-up.

While clicking on the Find Caregiver icon as mentioned in the above attached image you will be having the list of the caregiver as per matching criteria.

On the find caregiver, you will have a grid showing the recommended caregivers with Rating, compatibility, score, last visit details, hours worked, Distance from client location, and option to assign the visit to caregiver by clicking on the blue tick.

You can easily filter the result by Skill Type, selecting the toggle to match the recurrence, show the unavailable caregiver, allow overtime on the visit, and search for caregiver by name. By clicking on the detail view this will navigate you to the Find caregiver detailed screen, in case you want to go to the Find Caregiver page.

Caregiver Rating inclusion on view Group by Caregiver

You can now also view the caregiver rating on the schedule calendar view “Group by Caregiver”, if available for the caregiver. This rating is available for the purpose of better scheduling so that you can view your caregiver rating from the Global Schedule Calendar as well.

The caregiver rating is available on the Caregiver list in the “Group by Caregiver” view.

Authorization on Group by Client View

You can now easily view/hide the Authorization on the Global Schedule Calendar View. To do so, you need to click on the toggle for the Authorization on the Global Schedule Calendar “Group by Client” that is available in the filters. By default this filter is turned off. Once you turn on this filter, the view will be showing the authorization in the Schedule Calendar if available.

Option to Add Clock-In/Clock-Out from Shift Details Pop-up

You can now review and manage the clock-in/clock-out directly from the shift detail pop-up that is available when you click on any shift card. Once you click on the shift card below is the pop-up that will be available where you can view/manage the clock-in/clock-out details.

By click on the buttons available for the clock-in/clock-out you can manually override the clock-in/clock-out information. The screenshot for the same is attached below for your reference.

You can manage the clock-in/clock-out details similar to the schedule window from here.

Option to restrict schedules visibility on the Global Schedule calendar for the Care Coordinator and Supervisor

With the new Global Schedule Calendar launch, we are now providing teh ability to show the client/caregiver records on the “Group by Client” and “Group by Caregiver” as per the Care Coordinator and Supervisor view.

Here if an admin or office staff user is the care coordinator of any client, by default they will see only those client(s) schedules on the Global Schedule calendar “Group by Client” view. In the case if they want to change and view it for all care coordinators, they can do so by selecting all care coordinators in the filter and searching the records again, they will see all of the visit(s) of all the care coordinators.

If in case you want to restrict office staff users from accessing all records, you can do so by going in the office settings where at the bottom of the office settings “Main” tab you have option to turn on the option as “Restrict Supervisors/ Care Coordinators to their own Clients/Caregivers” with a checkbox. If this option is enabled the Office Staff user cannot change the value of the Care Coordinator/ Supervisor filter in the Global Schedule Calendar.

If an admin or office staff user is the Supervisor of any caregiver, by default, they will see only those caregiver(s) schedules on the Global Schedule calendar “Group by Caregiver” view. In the case if they want to change and view it for all supervisor, they can do so by selecting all supervisors in the filter and searching the records again, they will see all of the visit(s) of all the caregivers associated with that supervisor.
